Domain management keeps registration, access and dependent services understandable and reliable. Naming and SEO decisions matter elsewhere, but day-to-day administration needs accurate records, clear responsibility and timely review.
These five practices apply to a business address or a portfolio. They reduce avoidable errors without guaranteeing that every technical or security issue can be prevented.
1. Maintain an ownership and service inventory
Record exact domain, registrant, registrar, expiry, renewal charge and purpose. Identify who may approve changes and who handles routine administration.
Keep DNS, website hosting and email providers visible. Cloudflare’s DNS explanation describes the lookup role, which is separate from serving website files.

2. Keep contact and recovery information current
ICANN’s registrant responsibilities address accurate contact information and registrar enquiries. Complete required verification and review details when staff or addresses change.
Use a notification route you can access independently of the domain being managed where practical. Store recovery information securely and define what happens if the usual administrator leaves.
Do not leave an organisation’s registration solely dependent on an undocumented personal account.
3. Protect accounts and approve changes clearly
Before acting on a renewal or verification email, check the task through the genuine provider account. An urgent message should not override your normal approval and access process.
The NCSC account guidance recommends unique passwords and two-step verification where available. Apply suitable controls to registrar, DNS and related service accounts.
Use the provider’s supported access methods and keep secrets out of public troubleshooting or informal messages. Review unfamiliar access or change notices through the real account.
Record significant changes, the reason and who authorised them. A shared responsibility without named approval can make recovery and troubleshooting harder.
4. Manage renewals as a scheduled task
Enable automatic renewal when it fits the retention plan, then maintain payment details and independent reminders. Check that the actual renewal completes.

5. Check the services and records after changes
After a purchase, transfer or DNS change, confirm the correct domain, account control and dependent website and email behaviour. Preserve configuration records sufficient to investigate a problem.
Website uptime, registration status and DNS correctness are different checks. A working homepage does not prove that renewal payment or email routing is correct.
